Summary: This role is for a People Project Associate focused on managing and cleansing people data and documentation within a six-month fixed-term contract. The position requires collaboration with the People team to address historical gaps in data and ensure consistency in information capture. The successful candidate will work with various HR systems, particularly HiBob, to create a reliable dataset and improve compliance. The role is based in London or Maidenhead, with a requirement for travel between the two locations.
Key Responsibilities:
- Map and cleanse people data from various sources including contracts, spreadsheets, and legacy systems.
- Log findings to identify sources, gaps, and inconsistencies in data.
- Update and back-date records in HiBob and supporting trackers.
- Run reconciliations and flag mismatches between HiBob and payroll.
- Audit existing employee files and document packs to identify missing or outdated documents.
- Re-organise and rename digital files for consistency and ease of navigation.
- Collate and organise current and legacy employment contracts across entities.
- Maintain clear comparison schedules highlighting key differences or gaps in contracts.
- Assist in preparing employee lists and documentation for future contract reviews.

As AVK continues to grow across the UK and Europe, we need our people data, systems and documentation to catch up. This six month role will provide the hands-on support needed to repair historic gaps, organise our records and bring consistency to how we capture information. You’ll sit within our People team and work closely with our People Director, People Operations Manager, our People Partners and the People Data & Systems Project Lead, who will set priorities and standards for the work. Your work will help us build a single, trusted source of truth in HiBob (our HRIS) and clean, complete people files that reflect who we are today.
What You’ll Focus On
- Mapping and cleansing our people data
- Track down data across contracts, spreadsheets, payroll files, shared drives, archived emails and legacy systems.
- Log findings in a structured way so we can identify sources, gaps and inconsistencies.
- Update and back-date records in HiBob and supporting trackers, following the standards set by the Project Lead.
- Run reconciliations (e.g., HiBob vs payroll) and flag mismatches clearly.
Making good our historical documentation
- Audit existing employee files and document packs across entities and locations.
- Identify missing documents, outdated versions or inconsistencies and record these accurately.
- Re-organise and rename digital files so they are stored consistently and easy to navigate.
- Maintain trackers and audit logs that show progress and outstanding actions.
Preparing the groundwork for future contract review
- Collate and organise current and legacy employment contracts across entities.
- Maintain clear comparison schedules that highlight key differences, anomalies or gaps.
- Ensure underlying data and file structures are accurate so we’re ready for future decisions.
- Assist with preparing employee lists, change logs and documentation that will support any later review work.
